We Understand
Life changes. If you can’t make your retreat, email us at reservations@pachamamaretreats.org as soon as you know, and we’ll walk through your options together.
We ask for notice because a seat is not just a booking. From the day you reserve, we hold your place, review your intake, schedule facilitators, order food, prepare your room, and begin ceremonial preparation. Most of that is spent before you ever arrive, and it doesn’t come back to us if the seat empties late.
So the closer you are to Day 1, the more of your payment is already gone. What follows is our attempt to be fair to you and fair to everyone who joins us.
First: cancel, or reschedule?
These are two different paths, and rescheduling almost always leaves you with more.
Reschedule (move to another retreat) — you still want to come, just not on these dates. Your money travels with you to a new retreat.
Cancel — you’re not coming. Some of your money may come back to you, and some may stay with us as credit.
If there’s any chance you’ll come another time, read the rescheduling section first.
Two words we use a lot
Refund — money returned to you.
Retreat credit — the value stays with us, and you put it toward a future retreat. It is not money back.
How we count the days
We count calendar days, not business days, from the day your email reaches us to Day 1 of your retreat.
Your request counts from the moment it arrives, not from when we reply.
For example: your retreat begins June 1 and you email us on May 1. That’s 31 days before Day 1.
If you’d rather reschedule (move to another retreat)
Sometimes you don’t need your money back. You just need a different date, and we’re glad to help you come when the time is right.

30 or more days before
Everything. One move to any available retreat in the next 12 months, with no fee.
15–29 days before
Everything. The full value of your reservation goes to your new retreat.
7–14 days before
Half. Our food, staffing, and other costs for your seat are already committed.
6 or fewer days before, or a no-show
Nothing automatic. Please read “If it’s six days or less” below.
Need to reschedule a second time? The free move covers one change. If life keeps shifting, write to us and talk it through with a person. We would rather hear from you than watch you quietly give up your seat.

Worth noticing at 30–44 days: canceling returns half your money, while moving keeps all of it. If there’s a chance you’ll come another time, move instead.
If it’s six days or less
By then your seat is fully prepared. The food is bought, the room is ready, the team is scheduled. There is no automatic refund, credit, or move.
But we are people, not a policy. If something serious has happened in your life, write to us. We read every one of those emails.
If your new retreat costs more
Prices shift between seasons and between our two sanctuaries. If the retreat you move into costs more than the one you left, you pay the difference.
For example: you paid $2,400 and your new retreat is $2,800. You would owe $400 before your seat is confirmed.
This applies whether you’re moving a reservation or spending a credit.
How retreat credits work
- Good for 12 months.
- Use them at either sanctuary — Maine or Orlando.
- You may pass a credit to one other person, one time. They’ll need to meet the same participation requirements you did, including the medical and psychological intake.
- Credits can’t be cashed out. They’re only good toward a retreat.
- If the retreat you choose costs more than your credit, you pay the difference.
Please consider travel insurance
We recommend a policy that covers trip cancellation. It can cover what this policy can’t — a family emergency, an illness, a canceled flight. It’s a small cost that protects a much larger one.
